The advice highlights a frequent disconnect between document storage and audit preparedness. A firm might have performed all required compliance tasks, but when policies, approvals, trade logs, delivery receipts, and business correspondence are dispersed across network drives, spreadsheets, email inboxes, or personal devices, creating a clear audit trail can turn into a laborious reconstruction project.
The core message is simple: exam readiness involves not only storing required documents but also being able to retrieve complete, up-to-date information at an examiner’s request.

For smaller and mid-sized RIAs with limited compliance staff, gaps in recordkeeping often emerge gradually. A policy might reside in one location, its approval history in another, and associated messages in a separate system. Each piece may seem manageable individually. A client discussion that starts through an approved channel may shift to text, social media, or another platform not captured in the firm’s archive. The rest of the firm’s documentation may be in order, yet the communication record remains incomplete.
The advisory points out that changes in enforcement priorities do not eliminate an RIA’s duty to retain required written business communications. Audit readiness depends on integrating those records into daily operations rather than attempting to recover them after an examination request arrives.
An exam-ready compliance record should demonstrate that the work was completed and make supporting evidence straightforward to locate. For instance, having a current policy is insufficient if the firm cannot also produce its review history. The same principle applies across the entire compliance program. Necessary records should be maintained in a way that enables the firm to produce them without retracing prior steps.
This does not mean forcing every document into a single application. What matters is having a reliable process that prevents information from disappearing between systems or requiring later reconstruction.
“Exam readiness really comes down to consistency,” Bjordahl added. “If the record is maintained as the work happens, the firm is in a much better position when a request comes in. You are retrieving what is already there instead of rebuilding the story afterward.”
